A useful brief for a concierge or assistant

When arranging flower delivery in Mayfair, Chelsea or Kensington on somebody else's behalf, start with a short agreed brief. Who is receiving the gift, what is the occasion, where should it be presented and which event does it need to precede? Distinguish the courier's arrival from the moment the flowers reach the guest. There may be a reception handover or a period of storage between those moments. Do not assume these arrangements are automatically included: discuss them with both the building team and the delivery team.

Describe the building arrangements

Give the property name, complete address, postcode and correct entrance. A building may have separate entrances for guests and deliveries. Find out whether reception accepts flowers, when an authorised colleague will be present and who should be called on arrival. Avoid sharing unnecessary details about the guest or their travel: provide the information needed for the agreed handover. If staff are not permitted to accept gifts, arrange a different authorised recipient instead of expecting the courier to resolve the issue at the door.

Choose for the actual setting

For a quiet white palette, start by comparing Identity; for a more prominent boxed arrangement, consider For Queen. Check the available size options and where the flowers will wait before presentation. Dimensions matter at a restaurant table, where a gift should not take over the place settings. For a hotel room, ask whether a suitable vase can be provided or whether a container arrangement is preferable. Choose the design around the guest's preferences rather than treating a neighbourhood name as a guide to personal taste.

Keep the surprise organised

Nominate one person to handle practical questions so the florist and courier do not receive conflicting instructions from several participants. Check the card message and sender signature. If the recipient is delayed, agree on an acceptable alternative in advance, such as handover to an authorised staff member or a revised time. Do not rely on flowers being left unattended in a public lobby. When the address, timing or recipient changes, reconfirm the arrangement: an earlier order comment may no longer describe the current plan.

Before placing your order

Check the product page for the current price, available sizes and the version shown in the photograph. A design name does not, by itself, establish the stem count or finished dimensions. If a particular shade, flower or exact number of roses matters, include that requirement in your request and wait for confirmation. Explain which substitutions you would accept: maintaining the colour palette, the overall volume or a particular flower type. This gives the florist a useful brief if an ingredient is unavailable for your chosen date.

London address and timing

Provide the full delivery address and postcode, the date in London local time, and the recipient's name and contact details. Specify who may accept the flowers and describe any building access arrangements. Confirm availability for the postcode and the requested delivery window before relying on an urgent order. If the recipient cannot accept the gift in person, agree on an alternative handover with the team. A time entered in an order comment is a request, rather than a confirmed appointment. Keep the sender's contact reachable while arrangements are being agreed.
